Digital Privacy Policy | Version 1

1. Our Commitment

The New Hampshire Forum exists to create a respectful deliberative space for people in New Hampshire to share issues, exchange ideas, and engage in constructive conversation. The New Hampshire Forum is committed to using technology responsibly, protecting participants’ privacy, and strengthening civic participation. We collect and process only the information necessary to operate our platform, foster constructive dialogue, ensure diverse participation, and improve our programs. We do not sell personal information. Transparency and trust are foundational to our work. 

The New Hampshire Forum uses participant data solely to support civic engagement, public dialogue, research, and inclusive participation. We do not use personal data to influence voting behavior, promote or oppose candidates, political parties, or ballot measures, or conduct political persuasion activities.

Any outreach or communications conducted by The New Hampshire Forum are intended to inform individuals about opportunities for participation in civic dialogue and community problem-solving, not to advocate for partisan candidates or campaigns. 

This policy applies to information collected and stored on digital platforms and in-person for New Hampshire. 

2. Information We Collect

A. Information Participants Provide Directly

Information you provide us may be stored in one more more of the following platforms:

  • Go Vocal
  • Mail Chimp
  • TypeForm
  • WordPress
  • Google Workspace
  • Frankly
  • In-person sign-in sheets

The following information is collected and used to advance the project:

  • Name
  • Email address
  • Demographic information (e.g., age range, race, gender, geography)
  • Ideas, comments, votes, and other contributions
  • Communications participants send to us

Some of this information may be considered sensitive personal information under applicable law. While we do not control how these technology vendors store and manage data (each maintains and publishes their own privacy policies), our vendor selection included review of their data management practices. Our website is hosted on WordPress and managed by The Forum’s national team. 

B. Automatically Collected Information

This information is collected online through:

  • Go Vocal 
  • Google Analytics via Looker Studio and its affiliates

The following information is collected and used to advance the project:

  • IP address
  • Device and browser type
  • Pages visited and interactions
  • Social media engagement metrics

We do not control how Go Vocal and Google Analytics collects its data; their data practices are governed by their own privacy policies. Data is also collected by two communication companies who are engaged in social media ads (See section 5 on Data Sharing for more details.)

C. Information from Third-Party Data Providers

We may use data from Aristotle Data Services, a commercial data provider that compiles voter, consumer, and publicly available political participation data.

This information may be used to:

  • Support outreach efforts
  • Improve representational diversity
  • Better understand participation patterns
  • Conduct research and evaluation

While we do not control how these technology vendors store and manage data (each maintains and publishes their own privacy policies), our vendor selection included review of their data management practices. There is no resale of data by this vendor. 

D. Email Newsletters & Communications

We use Mailchimp to send newsletters, announcements, and other communications to subscribers and participants who opt in or where otherwise permitted by law. Mailchimp may store and process:

  • Name and email address
  • Subscription preferences
  • Email engagement data (e.g., opens, clicks, delivery status)

You can unsubscribe at any time using the link in our emails or by contacting us at info@nhforum.us

In New Hampshire, we use Numinar for mobile phone texting services. Numinar may store and process: 

  • Name and phone number
  • Text engagement data (e.g., opens, clicks, delivery status)

You can unsubscribe from texting services by writing “STOP” to the received message. 

E. EventBrite

To confirm event participation, we use EventBrite which collects:

  • Name and email address

We do not control how EventBrite collects its data; their data practices are governed by their own privacy policies. 

3. How We Store and Manage Data

We use trusted third-party technology providers to manage and analyze data:

  1. Client Relationship Management

We use Airtable as a secure client relationship management (CRM) system.

Airtable stores:

  • Contact information (name, email)
  • Demographic data
  • Participation history
  • Engagement tracking

Access to this database is restricted to The New Hampshire Forum national team personnel and protected by administrative and technical safeguards. It is not shared with third parties, including communications agencies or vendors. 

  1. Data Analytics & Reporting

We use Looker Studio to analyze and visualize engagement data, including social media performance and outreach metrics. Looker Studio may process aggregated or de-identified data to generate reports. Social media analytics may include platform-provided engagement data (impressions, clicks, interactions).

We use Heroku to create a community engagement dashboard that tracks participation data from TypeForm and Go Vocal. Data is aggregated or de-identified data to generate reports. 

  1. Deliberative Platforms & Social Media

If participants engage with The New Hampshire Forum through deliberative platforms (e.g., Go Vocal or Frankly) or social media channels, information may also be subject to those platforms’ privacy policies.

  1. Communications & Digital Services

We engage third-party communications and digital service providers to support website development, digital outreach, and social media management.

These providers may have limited access to engagement data (such as website traffic analytics or social media performance metrics) solely for the purpose of supporting The New Hampshire Forum’s communications and outreach activities.

They do not independently collect, sell, or use personal information for their own purposes and are contractually required to maintain confidentiality and appropriate data security standards.

  1. Advertising & Social Media Platforms

We use social media advertising tools to inform individuals about opportunities to participate in civic dialogue.

These platforms may use cookies, pixels, or similar technologies to measure engagement or improve ad delivery. Any data collected by those platforms is governed by their own privacy policies.

Our communications vendors do not receive raw personal data from these platforms beyond performance analytics. Communication vendors will see participants’ social media profiles based on users’s active participation and responses on social media platforms.

4. How We Use Participant Information

We use personal information to:

  • Operate and improve our civic engagement platform
  • Ensure diverse and representative participation
  • Communicate project updates
  • Moderate discussions in accordance with our Community Engagement Guidelines outlined in our Digital Moderation Policy
  • Conduct research and evaluation
  • Support outreach and recruitment efforts
  • Comply with legal obligations

Participant responses may be anonymized and aggregated for public reporting. In particular, on Go Vocal, we ensure that only participants who contribute posts, only their first name and last initial are publicly listed. 

5. Data Sharing

We do not sell or rent participant personal information. We may share data:

  • With service providers (e.g., Airtable, Looker Studio, Aristotle) strictly for operational purposes only related to The New Hampshire Forum
  • If required by law
  • To protect the safety, rights, or integrity of participants or the organization

We require service providers to maintain appropriate security standards.

We may share information with service providers, including communications and digital firms, who assist with website management, advertising placement, and outreach strategy. These providers act solely on our instructions and may not use personal information for their own marketing or commercial purposes.

This reinforces that they are processors, not controllers.

6. Data Retention

We retain personal data only as long as necessary to fulfill the purposes described in this policy, including research, evaluation, and compliance requirements. Participants may request deletion of their account or data at any time. 

7. Data Security

We implement reasonable administrative, technical, and organizational safeguards to protect participant information. These include access controls, secure platforms, and restricted database permissions. However, no online system is entirely secure.

8. Participant Rights

Depending on their jurisdiction, participants may have rights to:

  • Access their personal data
  • Correct inaccurate information
  • Request deletion
  • Opt out of certain communications
  • Request information about data sources

9. Children’s Privacy

The New Hampshire Forum is not intended for individuals under 18 years of age. We do not knowingly collect personal information from minors.

10. Updates

The New Hampshire Forum reserves the right to update this Privacy Policy periodically. The updated version will be posted with a revised effective date.
